# Manage Workspaces and Files in LiveCanvas

> Create workspaces, add whiteboards or documents, archive old files, and control access in LiveCanvas.

LiveCanvas organizes content into workspaces. Each workspace acts as a shared team folder where members can create files, switch between document and whiteboard modes, and archive completed projects.

## Create a Workspace

After signing in, the dashboard shows your workspace list. Click **New Workspace** and give it a name. LiveCanvas saves the workspace record in Convex and links it to your user account.

## Create Files

Inside a workspace, click **New File** and choose the type you need:

<Steps>
  <Step title="Type your file name">
    Enter a descriptive name so teammates can find the file later.
  </Step>

  <Step title="Choose a file type">
    * **Document**: Opens the Editor.js rich text editor for structured notes and content.
    * **Whiteboard**: Opens the infinite Excalidraw canvas for diagrams and sketches.
  </Step>

  <Step title="Start working">
    The file opens immediately. Convex auto-creates the record and saves your changes in real time.
  </Step>
</Steps>

## Archive Files

When a project wraps up, you can archive a file instead of deleting it. Archived files are hidden from the default workspace view but remain in the database. Update the `archieved` field (note the spelling in the schema) on the file record to toggle visibility.

```typescript theme={null}
// convex/schema.ts (excerpt)
files: defineTable({
  fileName: v.string(),
  teamId: v.string(),
  createdBy: v.string(),
  archieved: v.boolean(),
  document: v.string(),
  whiteboard: v.string(),
}).index("by_teamId", ["teamId"]),
```

## Share Workspace Access

Workspace membership is controlled by the team record. Only authenticated users with access to the workspace can see and edit its files. Because authentication is handled by Kinde, you can invite teammates through your Kinde organization settings, and they will gain access to the associated workspace once logged in.

<Tip>
  Use descriptive file names and archive old work regularly. This keeps the workspace clean and makes it easier for teammates to find active projects.
